Discover how to distribute information strategically and gain real value.
30 April 2025In previous posts we have discussed different questions about the surveillance process. This time we are going to focus on what to do with that information, what to do in the intelligence phase of the process.
In this phase, information acquires real value when it is distributed to the right users within the organisation. It is they, by consuming and applying this information in context, who generate the knowledge needed to make informed decisions. Strategic distribution is not just another step in the process, it is the mechanism that activates the intelligence, allowing the information to flow to where it is actually transformed into value for the organisation.
Each organisation approaches this process differently, depending on its structure, culture and objectives. Some choose to share it exclusively within a work group or department, while others seek to democratise access by distributing it throughout the organisation. This strategic approach must be as unique as the organisation itself, ensuring that information reaches those who can turn it into action.
There are several ways to distribute information in InTool:
- In a timely manner: Option to distribute a news item instantly to people of interest along with an attached note.
- Personalised alerts: A tool that automates the dissemination of information (based on the level of importance) directly to users on a regular basis, without the need to access the system.
- Newsletters: The newsletter is one of the most widely used formats for interacting with groups of people, allowing information to be communicated in a structured and effective way. The creation of a newsletter, based on the selection of a set of news items, can serve a variety of purposes.
Ingredients on their own are of little value: rice, salt or spices do not impress on their own. But when combined and cooked with purpose, they make a delicious dish š„. So it is with strategic information in an organisation: only when it is properly distributed and each user contributes his or her part, does it generate that collective intelligence.
